Casino and Theme Night Hire Terms and Conditions

These Terms and Conditions form the agreement between Kleo Jackson Presents (“the Company”) and the Client booking the services. By confirming a booking, the Client agrees to be bound by the following Terms and Conditions.

1. Event Duration

  • The standard hire period for casino gaming tables is 2–3 continuous hours, unless otherwise agreed in writing.
  • The hire period refers only to the operational gaming time and does not include delivery, installation, or dismantling of equipment, props, or decorations.
  • The hire period will commence and conclude at the times stated on the booking confirmation.
  • The Company cannot accept responsibility for any delay in the start of the event caused by circumstances outside of its control, including but not limited to:
    • Guests arriving late
    • Venue delays
    • Other activities overrunning
    • Venue access restrictions

Where such delays occur, the hire period will still be calculated from the originally agreed start time and no refunds or extensions will be provided.

2. Theme Night Props and Decorations

All props, decorative items and casino equipment will normally be installed prior to guest arrival and will remain in place until the event concludes.

Clients should note:

  • Set-up of themed casino events may take 4–5 hours
  • Dismantling and removal may also take 4–5 hours
  • The Company will not be responsible for additional venue hire charges resulting from the time required to complete installation or dismantling.
  • It is the Client’s responsibility to inform the venue of the time required for both installation and removal.
  • Due to venue size, layout, height restrictions or safety requirements, it may not always be possible to install every item included in a themed package. The Company reserves the right to determine which items can safely be displayed.
  • Occasionally certain props may be unavailable due to maintenance or damage. In such cases a suitable alternative may be provided.

3. Booking and Payment

To secure a booking, the Company requires a non-refundable booking fee of 50% of the total hire cost.

The remaining balance must be paid no later than 30 days prior to the event date.

Accepted payment methods include:

  • Debit card
  • Credit card
  • Bank transfer


Special payment conditions:

All December bookings must be paid in full by 1st December

Bookings made within 30 days of the event must be paid in full at the time of booking

Cash payments on the day of the event will only be accepted in exceptional circumstances and by prior agreement

The booking fee must be paid within 7 days of receiving the booking confirmation. Failure to do so may result in the booking being released and made available to other clients.

4. Cancellations

Once a booking has been confirmed, it forms a binding contract under English law.

If the Client cancels the booking, the following charges apply:

  • More than 60 days before event – Booking fee retained
  • Within 60 days of event – 50% of the remaining balance payable
  • Within 30 days of event – Full hire fee may be charged
  • All payments made prior to cancellation are non-refundable.
  • Cancellations must be communicated as soon as possible by telephone using the contact number provided.
  • The Company reserves the right to waive cancellation fees in exceptional circumstances at its sole discretion.

 

5. Postponements

Postponements may be agreed by mutual consent.

Where a postponement is agreed:

  • A new event date must be confirmed immediately
  • The new date must fall within 90 days of the original booking

If the Company is not available within this period, the booking will be treated as cancelled and payments made will remain non-refundable.

Postponements for vague or unspecified periods such as “Spring”, “Summer”, “Christmas” or “Easter” will not be accepted.
Any price increases that occur during the postponement period may apply to the new booking date.

6. Delivery, Installation and Removal

The Client must ensure that the venue allows sufficient access for delivery and installation of equipment.

Where access to the function room is not immediately available, the Client must arrange with the venue for secure storage of equipment until installation can take place.

Casino tables are typically delivered and assembled 30–60 minutes before the gaming start time, unless otherwise agreed.

However, themed events may require:

  • 3–4 hours installation time
  • 3–4 hours dismantling and removal time

The Client must ensure venue management is aware of these requirements.

Where necessary, equipment may be collected the following day subject to venue agreement.

7. Health and Safety

All props, decorations and equipment are positioned with full regard to health and safety.

Under no circumstances may props, decorations or casino equipment be moved by the Client, guests or venue staff.

If any item is moved, the Client accepts full responsibility for any injury, accident or damage that occurs.

All decorative props are strictly for indoor use only and must not be placed outside the venue.

8. Client Liability

The Client is responsible for any damage, loss or theft of equipment during the hire period.

The hire period is defined as the time between installation and dismantling of equipment.

Where guests behave in a disruptive, aggressive or unsafe manner, the Client remains responsible for their conduct.

The Company reserves the right to:

  • Refuse participation to any guest
  • Remove individuals from the gaming tables
  • Terminate the event immediately

If staff experience verbal abuse, physical abuse or threatening behaviour, the Company may terminate services immediately and no refund will be provided.

9. Company Liability

The Company’s liability to the Client shall not exceed the total value of the booking.

If the Company is unable to provide the service due to unforeseen circumstances, the maximum compensation payable will be a refund of the total amount paid.

The Company shall not be liable for:

  • Indirect losses
  • Loss of profits
  • Third-party claims
  • Consequential damages

10. Conduct of Staff

All Company staff will conduct themselves professionally and respectfully at all times when dealing with Clients and guests.

11. Age Restrictions

For legal and insurance purposes, any person under the age of 16 must be supervised by a responsible adult at all times when participating in or observing casino games.

12. Insurance

The Company maintains public liability insurance appropriate for the services provided.

However, the Client remains responsible for guest conduct and any damage caused by attendees.

13. Power Supply and Venue Facilities

The Client must ensure the venue provides suitable electrical supply and space for equipment.

The Company cannot be held responsible for delays or inability to provide services where:

  • adequate power supply is unavailable
  • venue restrictions prevent installation
  • access is denied or restricted

14. Force Majeure

The Company shall not be liable for failure to perform its obligations where such failure results from events beyond its reasonable control, including but not limited to:

  • severe weather
  • accidents or illness
  • transport disruption
  • government restrictions
  • venue closure
  • power failure

15. Data Protection (GDPR)

Client contact details will be used solely for the purpose of managing bookings and providing services.

Information will not be shared with third parties except where required by law or necessary to fulfil the booking.

16. Reservation of Rights

The Company reserves the right to suspend or terminate services if the behaviour of the Client or guests poses a risk to staff, equipment or other attendees.

The Company also reserves the right to recover costs for any damage caused to equipment or property during the hire period.
